Contracts: An Organized Way to Book Freights
In addition to booking freights from the Marketplace, where all freights are publicly visible, Contracts provide a more exclusive and structured approach for selected carriers. This guide explains how Contracts work and what they mean for you.
What Are Contracts?
Contracts are agreements between Girteka and carriers, defining the terms for moving a set number of freights each week. These freights have specific features:
- Exclusive: Visible only to carriers included in the contract.
- Predefined: Freights are linked to the contract with agreed terms, such as loading and unloading countries, price, and acceptance time.
A single carrier can have multiple active contracts, allowing flexibility and more opportunities.
How Does It Work?
Setting Up the Contract
- The details of the contract are discussed and agreed upon directly with your Girteka Manager outside the Portal.
- Once finalized, Girteka will create the contract in the system and assign your company as the carrier.
- Girteka will also assign a responsible person from your company to oversee the contract. This can be one person or all employees, ensuring relevant notifications reach the right people.
Receiving Assignments
- Responsible manager will receive a notification whenever a contract freight is assigned to your company.

Standard Assignments: You must respond (accept or decline) within the acceptance time specified by Girteka. Note: Acceptance time is calculated only on weekdays (Monday to Friday) between 8:30 and 17:30.
- Committed Assignments: The freight is automatically booked for your company without requiring your confirmation.
Post-Approval Process
- Once you accept an assignment or a committed freight is automatically booked, it moves to your My Freights list and is marked as Contract .
- From there, the freight follows the standard booking process.

Fixed Prices
- Prices for contract freights are agreed upon for the duration of the contract.
Predefined Locations
- Contracts include loading and unloading countries. Postcodes may be partial or omitted during setup, but full freight details will be provided with each assignment.
Acceptance Time
- A specific time frame is set for responding to assignments, ensuring smooth operations.
Freight Limits
- Contracts may specify weekly limits or restrictions on freights for certain days of the week.
Responsible Users
- Notifications about contract freights are sent to the designated person or all employees at your company, as determined during the contract setup.
